Anyone who has run a business or worked in an office knows that one of the biggest time consumers of the day is paperwork and filing.  Finding names, phone numbers, and orders amongst the piles of papers on your desk is a job unto itself. How much usable space of your office is taken up with years of old papers in file cabinets? Every time you fill up one cabinet, you have to get another one. Or have stacks of file boxes. Increase your company’s productivity by making your filing system paperless.

With the Real Time Manager Productivity software you can move your employee and customer files online, thus eliminating the need to store numerous files and papers for each employee and client. Orders and invoices will also be entered and stored in the online management system. If you need to look up a past work order, you can look up that company and see all of the service calls your company has performed for them. No need to dig through files and hoping the last person who used the file put it back in the right spot.

Service calls will also be handled through the Real Time Manager system. Calls will be entered into the system and have the ability to be assigned to technicians. Google maps has been integrated into Real Time Manager, so that technicians with GPS enabled phones can be tracked in the system and assigned service calls nearby their geographical position.

A clean work environment is a more productive work area. Going paperless will remove a good deal of the clutter and let employees get more done. Having information at your fingertips will save time over looking through piles of paper and files. The Graph Features of Real Time Manager

With Real Time Manager, you can view Pie Charts and Bar Graphs:

§       Declined Services

§       Approved Referral Sources

§       Day and Night Services

From these charts you can determine where most of your approved referrals are coming in from and which sources are lacking. From that point you can try to find out ways to improve those referral sources. In the same respect, you can also view which sources are bringing in the most declined jobs. From the Day and Night charts you can see what percentage of jobs are done at night in comparison to the day. In the bar graph you can see the daily comparisons, while the pie chart gives you a total percentage overview.

How to add a new “Sub Employee” to the Real Time Manager System.

When you want to add a new employee to your Real Time Manager System, there are a couple of different paths that go to the same place. If you have Administrator access you can mouse over the “Admin” tab to scroll down and select “Add New Tech”. Or you can click the “Admin” tab, which will take you to the Administration page. From there you can select “Add A New Sub-Employee”.

From this page you will go to the “ADD NEW SUB EMPLOYEE” page.(Click link for Image)

On this page you will enter the data on your new employee, such as:

  • First Name and Last Name
  • Address, City, Zip, State, and Country
  • Phone Numbers
  • Company they work for and Job Title.
  • You will enter their commission information. Percentages taken out for different payment types. Amount of extra commission added for after hour night jobs.
  • Whether the employee will handle the payments, and if so what types if not all.

When you are done entering the employee’s information, just click on the “ADD NEW EMPLOYEE” button on the right side of the page. To begin using this employee you must add them to a work zone or zones. Go back to the “ADMINISTRATION” page and select “ASSIGN EMPLOYEE TO ZONE”. On this page select a state in the drop down box and check the desired Cities. Below the city section you will see a list of all employees already in the group and below it a list of all available employees. After selecting a city, click on the name of the employee you want to add to that city’s group and click on the “Add Employee To Group” button. Once they are assigned to a city, you can begin assigning jobs in the area to the employee.

  1. Dispatch Control - Quickly view all services scheduled for the past , present , and future. See which jobs are assigned to technicians and which jobs have yet to be assigned. See who has completed jobs and investigate jobs that were not completed on time.
  2. Technician Assignment- Easily select an available technician from a list and assign them to a job
  3. Client Relationships- Keep track of all your clients information, past services, and other information.
  4. Across Time Zones-Setup time zones, adjust for services in other time zones, set summer or winter hours.
  5. Accounting (CC processing)-Manage all payment information and invoices from inside the system. Setup processing for credit card payments. Set up commission rates for technicians , State, and Company use. Create financial reports.
