Security:
We have incorporated an extremely strong security application to keep your business safe. Each company has its own validation process and its own gateway through which it accesses Real Time Manager. Our high-level encryption strongly deters any unwanted visitors from ever accessing your information. We also provide the option of adding a secure line, meaning that all of your system information and data will undergo further encryption.
Each user has rights defined by their user category. There are four basic categories: restricted, user, manager and admin. By default, there will be one admin in the system with a password that will be provided to you upon creating an account. For security reasons, the default admin cannot change its status to any other user type. It is recommended that you change your password after receiving your information from us. This assures maximum protection for you. Remember, that you are the only one who holds the key to your business, so keeping your password private is very important.
As the admin, you can add users and assign them a level of status allowing them specific rights. Each user’s status will define what part of the system they will have access to. Some examples of the rights and restrictions that user groups can have include:
Restricted User:
Restricted users can only add new services.
Users:
Users can add and edit services, send emails or SMS to employees, find an estimate, view unpaid or closed reports, find services by date and backup the system.
Managers:
Managers are allowed all the same rights as users and can edit services that have been closed.
Admin:
Admin are allowed full access and are the only users allowed to view financial records.
Each user can use the controls in the top right of Real Time Manager to edit their email address, security question and password. The admin link will direct you to the admin control
panel where you can view the status of all users, change a user’s status or delete a user. Selecting the “Users” link will guide you to a page where you can add to or edit the users list.
For security purposes, all user passwords are personal and cannot be viewed by the admin. If a password is lost or forgotten that user can use the “reset password” tool located at the login screen.
As admin, the only way to change another user’s password, is to change the user’s email to your personal email and then use the “password reset” tool with their username. The new password will be sent to your personal email account allowing you to access their account.
Login Report:
Login reports are created for the admin to review. This is done so that you can keep track of
the users logging in, the IP address they logged in from, the time of day and their activity. You can use this tool to monitor your users and adjust their security level if needed. Your login report will also include fraudulent attempts to login to the system. Any failed login attempts will be recorded for your review. You will know if an unwanted guest is attempting to gain access to your system, After five failed login attempts, a computer will be blocked from logging in for 45 minutes. An admin can unblock any users that have been blocked.
