Business Financial Reporting

Real Time Manager does all of your business financial reporting for you. It will keep track of all of your service reports, customer details and financial records. All of the stored reports are easily accessible and can be searched by date, sub-employer, location, product and more. For every service you perform you will receive service reports and financial reports. Financial information will include service revenue, individual job profit, company profit, sub-employee collections, commission rates, payment breakdown, number of customers, parts, cost and much more!

Some of the featured reporting options are as follows: Creating reports by an Open or Closed service status; Viewing Profit & Loss Reports by technician and their number of service calls; Receptionist Reports to find out all the services they booked. Real Time Manager has many other reporting methods such as getting reports by Zip Codes for Technicians, Referrals, Company, and by Source. Source or Sub Report:

Source reports include every service completed by that company. These reports are divided into closed and open reports. All of the important information regarding services rendered is available including: the customer name, the service provided, the appointment time, the sub- employee who completed the job, the parts used, the total amount charged, the amount paid (broken down by payment type), the commission and the unique invoice number for that service.

Sub-employee reports include every service completed by that worker. These are divided into open and closed reports. These reports include every detail about the individual services provided and the payments received. Open sub reports also include a summary of all open services that a sub-employee has been assigned and the profits from those services.

Closed reports can be edited if necessary. Once you re-open a closed report and make changes the report will be saved as a separate report.

The Graph Features of Real Time Manager

With Real Time Manager, you can view Pie Charts and Bar Graphs:

§       Declined Services

§       Day and Night Services

From these charts you can determine where most of your approved referrals are coming in from and which sources are lacking. From that point you can try to find out ways to improve those referral sources. In the same respect, you can also view which sources are bringing in the most declined jobs. From the Day and Night charts you can see what percentage of jobs are done at night in comparison to the day. In the bar graph you can see the daily comparisons, while the pie chart gives you a total percentage overview.

The User Views in Real Time Manager

The User Views in Real Time Manager

From within Real Time Manager, you can manage the dispatching of your employees and technicians. One can add jobs to the system, see which jobs are available to be assigned, as well as which all are already assigned. The page you see and what you can do is dependent upon your role inside of the system.

The most basic view is that of the Agent. The page they are allowed to see is supplied only with a message board, a GOOGLE search box, and a link button to add services into the system. They will not see the default dispatch page when logging on to the system.

If you are an admin or other privileged user, you will see the default dispatch page with the ability to change between page views from the “Service Center” tab. On the default page you will see the assignment status of the job, either assigned or unassigned. The appointment time and estimated time of arrival. And those jobs which have gone past the estimated arrival time.

The next view option is that of “Tabs View”, it is much more efficient in that you can look at only the section you are interested in seeing. Each section is viewable by a tab menu, with it’s own labeled tab.

Next is the “Scheduler Dispatch” view, which is a kind of calendar view. From it, one can view the dates and times of their appointments on a calendar grid. As well as the other status attributes.

All reports are defined as either open or closed services and include detailed financial and service information. After viewing any report, you can choose to print a hardcopy for your records.

Each time a receptionist handles a service their actions are recorded. To find services handled by a specific receptionist, select the user name and the dates you would like to display.

High Security Key System:

You can view information related to your high security key system customers in this report. Their contact information, lock, key cut and part numbers are stored here. You can search for specific reports by defining the customer name, phone number, invoice number or by the employee who performed the service.

Profit And Loss Report:

The profit and loss report is a comprehensive financial overview that includes every service you perform. Every service is listed along with a great deal of information. This report includes customer names, addresses, the date of the service, the type of service, the time each service was performed, the cost of parts, the cost of labor, the amount broken down by payment type, the outstanding balance, the sub-employee who performed the service, the overall price, the commission paid and your profit from the service.
